Inventory what survives
Before changing a plan, account or provider, identify where copies are stored, how they are retrieved and which credentials or software are needed to restore them. Check the current contract and documented cancellation behavior. Do not assume data remains available forever because it once appeared in a dashboard.
Prove an independent restore
Choose an approved retained artifact and rehearse restoration through the intended replacement route. Keep the format, required tools and key references with the non-secret record. A successful export alone does not demonstrate that the replacement can recover the application.
Use a deliberate overlap
Where your policies and budget permit, keep the working route until the replacement meets the predeclared acceptance conditions. Resolve ownership of old files and rotation rules. Do not let two independent deletion policies remove the only useful recovery horizon during a transition.
Record the exit decision
List what has been verified, what remains retained, who owns it and when it will next be reviewed. Separate canceling a subscription from deleting stored artifacts. Any irreversible cleanup deserves its own authorized decision; a shopping guide should not silently turn into a deletion checklist.
Define what makes the replacement acceptable
Before canceling anything, write the minimum replacement result: required recovery points remain accessible, the intended operator can use the documented format, the isolated application checks pass, and ownership of retained history is clear. Fictional transition: the new schedule works, but an old encrypted artifact is only retrievable through the departing service. That unresolved dependency belongs in the exit decision. A new green dashboard is not enough. Separate commercial cancellation, access removal and data deletion into distinct decisions under the organization’s approved process.
